This position supports the Department of Emergency Medicine as an Academic Program Management Associate. This position contributes to the success of the Department of Emergency Medicine by providing administrative services through the coordination and support of operations. Key areas of responsibility include operational, information, communication, and financial management. This position requires a high level of discretion, confidentiality, attention to detail and accuracy, and independent judgment.

Position Responsibilities:

Medical Student Clerkship Coordination:

  • Function as the first contact liaison to students, faculty, residents, community sites and school administration for any issues or questions related to the clerkship.
  • Provide primary support to the Clerkship Director in matters relating to the clerkship and functions as their representative. Provide administrative support for ED Health Equity and Community Engagement Coordinate daily operations of the clerkship, organizes, and prioritizes necessary tasks, initiate changes and resolves issues as they arise.
  • Understand the curriculum, educational goals, policies and standards of the clerkship and the medical school.
    • Interpret and inform students and faculty regarding University academic policies and procedures. Assists in documentation of policies and procedures.
  • Assist in recruitment and retention of medical students from many diverse cultural, economic, and social backgrounds.
    • Coordinate second look visits including transportation, room, board; create a welcoming environment through social gatherings; facilitate opportunities to have meaningful interactions between students and faculty and/or residents.
    • Obtain and optimize recruitment materials from CCOM, our department, marketing; and organize these materials for shipping and display to any recruitment event for medical students.
    • Provide support for recruited medical students during the transitional period to residency at UIHC.
  • Coordinate and monitor curricular activities. Administer the accreditation, compliance and reporting requirements specific to Emergency Medicine's academic program.
  • Coordinate orientation, schedules, and evaluations.
  • Monitor the student evaluation and grading process and maintain complete and accurate student files.
  • Maintain online systems (ICON, COMET, MAUI and CLERX).
  • Proctor rotation exam.
  • Accurately and timely record and report grades.
  • Distribute, collect, and tabulate all evaluations Clerkships, residents, and faculty. Compile and generate feedback for all appropriate follow-up and reporting.
  • Assist with the development of new on campus and off campus clerkship courses.
  • Function as the first contact liaison to students who want to complete a visiting rotation.
  • Collect and organize visiting student applications to be reviewed by the Clerkship Director.
  • Coordinate rotation dates with accepted visiting students and the Carver College of Medicine.
  • Assist in the selection of Roadie Scholar applications, dispersal of scholarship funds, and coordination of rotation with UIHC and affiliates.
  • Establish new partnerships and build new relationships with medical school administrations within the US and Caribbean to foster new talent, establish a culture of respect, trust, transparency, and inclusion.
  • Interface with Health Equity and Community Engagement lead to optimize EM-related experiences for all students on site.
  • Monitor student well-being and provide assistance to appropriate resources including student health and/or notifying appropriate channels within clerkship for counseling or psychiatric referral.
  • Prepare annual SLOE presentation for EM bound students for the ERAS submission system.
  • Coordinate rotating PA Students by collaborating with the University of Iowa Physician Assistant Graduate Program.
Coordinate Job Shadow Programs:
  • First contact liaison to students requesting job shadow experiences in the ED.
  • Schedule shadows and maintain job shadow calendar.
  • Coordinate/schedule specific shadowing groups such as the Summer Undergraduate MSTP Research (SUMR) students, the CCOM Early Clinical Experience shadowing, and the University of Iowa Emergency Medical Services Student Interest Organization (UIEMSSIO) students.
  • Obtain and maintain proper paperwork associated with Job Shadowing program.
  • Facilitate communication between student and faculty and/or Advanced Practice Providers.
  • Coordinate/schedule specific shadowing groups such as the Summer Undergraduate MSTP Research (SUMR) students, the Physician Shadowing Program (Fall, Spring, and Summer sessions), and the University of Iowa Emergency Medical Services Student Interest Organization (UIEMSSIO) students.
  • Coordinate/schedule shadowing and/or events with the Office of Health Parity Summer Health Professions Education Program (SHPEP) students.
  • Coordinate orientation of these students to the ED.
  • Prepare and present overview and introduction to the expectations of the job shadowing experience for the special groups.
  • Track teaching hours for faculty supervision of medical students.
  • Coordinate with Fleet Services on EMS Fellowship car matters (lease, routine services, etc.).
This position will also provide backup administrative support to the Medical Student Clerkship Director and Assistant Director as well as the Vice Chair for Education. This position provides administrative support to the department of Emergency Medicine Faculty. Other duties as assigned.

Education Requirement:
  • Bachelor's degree in Business or appropriate discipline or an equivalent combination of education and experience.
Experience Requirement:
  • Office administrative experience including financial monitoring (minimum 6-12 months prior experience).
  • Demonstrated ability to meet deadlines, follow-up, and multi-task with minimal supervision.
  • Excellent written and verbal communication skills.
  • Must be highly proficient in computer software applications (MS Word, Excel, Outlook, etc.).
  • Working experience with electronic processing systems and financial reports.
Desired Qualifications:
  • 1-3 years of administrative experience in a professional complex organization.
  • 1-3 years of experience as a Program Coordinator.
  • Knowledge of UIHC medical credentialing policy.
  • Demonstrated ability to positively engage with individuals from a broad range of backgrounds and experiences.
  • Knowledge of University of Iowa policies and procedures.
  • 1-3 years of public contact/customer service experience.
