Accounts Payable Clerk

Role Description:

The position performs accounting and clerical tasks related to the efficient maintenance and processing of accounts payable transactions. The Accounts Payable Clerk assists vendors on all issues, key invoices, and offering solutions or teaching opportunities in a positive manner. Interacts with other departments of the company, locations, and agents.

Key Responsibilities:

• Managing accounts payable using accounting software and other programs
• Posting Invoices and Credit Memos
• Review daily Outlook AP inbox
• Rename invoice and save as PDFs in relevant folders
• Review and verify invoices for such elements as: proper authorization, applicable matching purchase order or contract, accuracy, and reasonableness of the charge code
• Maintain and follow proper receipts and invoicing for blanket POs
• Respond to inquiries from suppliers regarding the status of their payments
• Provide support to company buyers, e.g., follow up on delivery dates and delinquent orders
• Review blocked invoices and provides appropriate course of action to clear for payment
• Analyse goods receipt vs invoices receipt and prepare reports
• Maintain relationships with new and existing vendors
• Work with warehouse staff to compare deliveries with purchase orders and identify discrepancies
• Organize and maintain proper documents archiving (scan, file, attach)
• Verify outstanding invoices and balances on vendors' audit confirmations

Requirements:

• High School Diploma or equivalent; required
• Bachelor or Associate degree in Accounting or related area (earned or in progress); preferred
• MS Office: Outlook, Excel, Word
• Comfortable with all forms of communication: phone, email and MS Teams
• Ability to cooperate with different internal and external business partners
• Patient, methodical and organized
• Understanding of ERP systems (SAP previous experience not required but helpful)
• Familiar with 3-way matching
• Data entry skills
