Advising Coordinator
POSITION SUMMARY
The Advising Coordinator plays a key role in providing academic advising and student services to undergraduate students at the Baker School. In line with the school's objectives, they bring valuable expertise to support the Director and Assistant Director of Student Success. Their responsibilities include implementing initiatives such as Academic Advising, New Student and Transfer Student Orientation, and First-Year Programs. Furthermore, they are tasked with developing and overseeing the Baker Scholars Program and serving as a primary point of contact for current students.
FUNCTIONS/RESPONSIBILITIES
ACADEMIC ADVISING
· Help students think critically about their academic, personal, and professional goals, following the University’s advising model
· Support the Assistant Director with maintenance of advising forms and other documents used by the Student Success and Academic Affairs teams
· Maintain advising caseload and act as a primary advisor for undergraduate students participating in Baker School majors, minors, and certificates
· Minor & Certificate Coordination: update interest forms, host information sessions, monitor interest form submissions, facilitate student advising meetings, add minors to academic profiles, complete and track advising forms for student records, assist with course registration, and troubleshoot course scheduling issues
· Provide feedback and annual suggestions on curriculum based on student feedback and issues observed, working with leadership to address student concerns
· Assist with the semester file review process and work to keep student academic profiles updated with their concentrations
NEW STUDENT ORIENTATION AND TRANSFER INITIATIVES
· New Student and Transfer Orientation: coordinate with the New Vol Orientation Team to learn about traditional and transfer needs, establish a timeline for summer orientation sessions, attend monthly orientation planning meetings with campus liaisons, maintain advising materials for students to review before advising appointments, co-plan sessions and in-person orientation days, conduct advising appointments and answer family questions
· Internal Transfer Program: establish and coordinate the internal transfer process; create/maintain current student recruitment materials; execute change of majors/advisors
FIRST-YEAR STUDENT PROGRAMS
· Baker Living Learning Community Coordination: work with UTK Housing to market and admit students to the LLC, monitor student course registration to meet program requirements, plan semester social events, work with RAs to monitor student experiences, monitor applicants and communicate numbers accordingly
· FYS 101 Coordination: Serve as the main point of contact between First Year Programs and Baker School, update course materials to reflect the needs of the students, plan and deliver FYS101 course content; coordinate peer mentors for Baker sections
BAKER SCHOLARS
· Assist supervisor in creating and facilitating the program
· Assist with recruitment and admissions for the program
· Work with the team to plan co-curricular experiences associated with the program
STUDENT COMMUNICATION AND CONFLICT RESOLUTION
· Address and elevate issues that may result from students not being able to enroll in a class or participate in a program, wellness issues, advising issues, etc.
· Field student and family emails and phone calls related to academic advising
REQUIRED QUALIFICATIONS
Education: Master’s Degree
Experience: 4+ years of full-time experience in higher education or related field. Experience in academic advising, new student orientation, first-year programs, housing, career services, or student affairs.
Knowledge, Skills, Abilities: Ability to relate to a diverse university community (students, faculty, staff, alumni, and parents). Ability to create, coordinate, and assess advising-related programs.
PREFERRED QUALIFICATIONS
Education: Master’s degree in higher education, public affairs, or related field
Experience: Full-time academic advising background will be given preference over other experience.
Knowledge, Skills, Abilities: Knowledge and previous use of Banner, DARS, and Salesforce. Capacity to utilize IT related to advising (Banner, DARS, Salesforce, other sources). Demonstrated leadership skills in a department or college.

The Howard H. Baker Jr. School for Public Policy and Public Affairs (Baker School), was established in 2023 to honor the distinguished life and legacy of Howard H. Baker Jr., a former US Senator, Senate Majority Leader, White House Chief of Staff, and Ambassador to Japan. Located in a 51,000-sq. ft purpose-built facility, the Baker School evolved from the Baker Center, which for twenty years has operated as a think-tank producing research, public engagement programming, and an active set of student programs. The Baker School is very excited to add degree programs and to grow its research programming into independent research centers. In addition, the Baker School houses the Institute of American Civics, which is responsible for encouraging civic knowledge and civic participation among UT undergraduates and the state at large.
