GENERAL JOB SUMMARY:
The Registrar's Office supports students and the college through responsible and accurate maintenance of student records and consultation and guidance on issues related to course scheduling, student information systems, and related enrollment processes and procedures. The Assistant Registrar & SCO assists the Senior Associate Registrar in the annual curriculum and catalog process by supporting academic departments, maintaining course and program records, and reporting changes to the Iowa Department of Education. This role manages student communications and outreach in regard to registration, commencement, and other regular processes of the Registrar's Office. This includes ensuring departmental emails and webpages are kept up-to-date. The Assistant Registrar & SCO position has a leadership role in planning and executing the college's annual commencement ceremony. This role also serves as a secondary liaison for Veterans Affairs policy and implementation between the Veteran Services Office, Financial Aid, and applicable federal, state, and local entities.

The schedule for this position will typically be Monday through Friday from 8 am to 5 pm.

DUTIES/RESPONSIBILITIES:

  • Expert knowledge of student records policies, processes and procedures.
  • Leadership role in the planning and execution of Kirkwood's commencement activities.
  • Serve as a secondary liaison for Veterans Affairs policy and implementation between the Veterans Services Office, Financial Aid, and applicable federal, state, and local entities.
  • Certify military student classes eligible for VA benefits and perform other routine duties for VA students.
  • Monitor student and registration data for accuracy. Recognize and troubleshoot data anomalies, and create or recommend solutions in partnership with the team.
  • Work closely with the Senior Associate Registrar to enter, update, and otherwise support the annual curriculum change process.

  • Test and assist with implementation of new software solutions for curriculum, catalog, and communications updates.
  • Coordinate priority registration and assign student registration priorities.
  • Develop queries and reports out of the college's database.
  • Produce technical and procedural documentation pertaining to curriculum/catalog updates, student registration, and other processes; provide staff training and support on these processes.
  • Create, monitor and update the team's email communications. Monitor and edit team webpages for accuracy as processes change.
  • Run and maintain processes that support key college functions. Backup and support team members in their work with student records.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree.
  • Three years full-time experience in higher education.
PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS:
  • A minimum of three to five years full-time equivalent experience working in a Registrar's office or with student records, curriculum, and data reporting in a post-secondary institution is preferred.
  • Experience with Ellucian Colleague, CourseLeaf, and CourseDog is preferred.
  • Technical knowledge and understanding of a student information system.
  • Experience with communication management and event planning in a higher education environment.
