Position Summary:

Florida Atlantic University is seeking an Assistant to the Dean, College of Business - Boca Raton, FL.

The FAU College of Business is one of the largest AACSB-accredited colleges of business in the United States with more than 8,000 students. The Assistant to the Dean provides a broad range of varied duties, including day-to-day office operations and administrative support to executive personnel in the Dean's office, including the Dean, Associate Deans, and Assistant Dean. Regularly manages confidential/sensitive information. Works daily with senior-level administrators from within and outside the university. Main point of contact for the Dean's Office.

Summary of Responsibilities:

  • Managing calendars and appointments for the Dean, Associate Deans, and Assistant Dean.

  • Coordinating travel including travel arrangements, personal agendas, and trip reimbursements.

  • Responsible for delegated approvals in Workday and in Credentialing Wizard, which requires confidentiality and knowledge of practices and procedures.

  • Accessing, monitoring, and responding as necessary to emails in Dean's inbox.

  • Arranging, attending, and transcribing department and College meetings as necessary, including Faculty Assembly, Steering Committee, Executive Committee, Dean's Forum lunches, etc. This includes providing catering if required, arranging speaker invitations, and providing meeting agendas and minutes.

  • Drafting offer letters on behalf of the Dean, gathering documentation required for hiring new faculty per Provost guidelines, and following through with the new hire offer acceptance. This includes working directly with the College Business Manager to coordinate the hiring process, posting faculty positions, coordinating interviews, following negotiations, gathering appropriate paperwork, ensuring credentialing is completed, coordinating with the provost's office, and finalizing offer letter and hiring paperwork.

  • Coordinating College faculty and staff representation at commencement and ensuring the required presence at the event.

  • Serving as Interfolio Administrator for promotion, tenure, sabbatical, and performance review of faculty, which entails creating and updating templates, managing cases, and updating procedures to ensure that faculty meet timelines.

  • Coordinating awards at the University and College level by distributing the calls, gathering applications, and announcing selections.

  • Updating faculty and staff directory information and managing distribution lists. Responsible for all official communication from the Dean both internally and externally.

  • Acting as College Timekeeper, which involves monitoring hourly employee time input, assisting with time input when necessary, and running reports to ensure accuracy.

  • Responsible for Dean's Office Pcard and processing memberships, subscriptions, etc. as necessary, either with the Pcard or by processing purchase orders.

  • Working with Dean's Office Coordinator to ensure personnel files are kept up to date, the Dean's Office Suite is locked/unlocked daily, room booking requests are handled, mail is sorted, office supplies are monitored and responding to inquiries in-person and by phone.

  • Supervise and coordinate the scheduling of graduate student assistants in the Dean's Office.

  • All other job-related duties as assigned.

Minimum Qualifications:Master's degree from an accredited institution in an appropriate area of specialization; or bachelor's degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.


Preferred Qualifications/Skills:

Bachelor's Degree and two years of administrative experience.

Workday and University experience.

Must have excellent communication skills, both oral and written, and be a team player.
