About the Department:

The mission of the University Advising Center (UAC) is to partner with pre-major students as they take ownership of their academic experiences at SMU and develop independent informed decision-making skills.

Most entering SMU students are assigned an advisor in the UAC. However, for students in the University Honors Program, and students majoring in the engineering and the fine arts (music, art, theatre, and dance), the UAC will provide specialized academic advising due mainly to the specific and rigorous academic demands of those programs. The UAC also provides students interested in the pre-health and prelaw programs with specialized pre-professional advising, which supplements the one-on-one relationship each student develops with his or her assigned advisor.

About the Position:

The Coordinator is responsible for managing administrative needs for staff of 18 in the University Advising Center, including front desk duties, budget, maintenance, running queries, scanning records into Imaging, and answering questions from incoming and current students and parents.

The person in this role provides front line communication with students, parents, staff, and colleagues both in-person and via phone/ email, manages petitions, and helps the Director with Probation, Suspension, Dismissal, Athletic Certification, and Repeat Roster tasks.

This role also coordinates emergency response protocol for office.

Essential Functions:

  • Resolve administrative questions, concerns, and inquiries via email, phone, and walk-ins for students, parents, staff, and other SMU Departments and offices. Assist students with enrollment questions, petitions, schedule appointments, organize meetings. Support the advisors as needed, particularly during busy enrollment periods.
  • Maintain and update accurate codings, rosters, petitions, and records for up to 3000 pre-major students. Work closely with Admissions and the Registrar's Office to ensure accuracy and Imaging of records.
  • Responsibilities during Summer and January Mustang Start-Up (Orientation) include making advisor assignments, adding students to the Pre-Advising Canvas Course (PACC), monitoring student progress through the PACC, and serving as the final step in matriculation process for incoming students.
  • Manage budget, order supplies, submit facility requests, organize meetings, and oversee smooth overall operation of the UAC and its 18 staff members.
  • Run, sort, distribute, and analyze query reports and solve problems using my.smu.
  • Support the Director of the UAC with specific tasks as assigned (Probation, Suspension, Dismissal, Athletic Certification, Repeat Roster) and supports the Assistant Provost with tasks as needed.


Qualifications

Education and Experience:

A high school diploma or equivalent is required. An Associate's degree is preferred.

A minimum of two years of work experience in an administrative/clerical support role is required.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong verbal and interpersonal communication skills to build relationships successfully with a wide range of constituencies. Must also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential.

Candidate must possess strong organizational, planning and time-management skills with the ability to prioritize and manage multiple tasks. A strong focus on attention to detail is essential.

Candidate must possess strong problem solving skills with the ability to be resourceful, proactive and seek assistance as needed. Must also demonstrate the ability to work independently and collaboratively with others.

Candidate must demonstrate proficiency in MS Word and MS Excel. Knowledge of MS Outlook is essential. Experience with and/or knowledge of a website content management system (e.g. Sitecore) to update web page content is preferred. Experience with running reports/queries in a relational database is a plus, preferably PeopleSoft. Knowledge of and/or experience with a digital record maintenance system, desired.
