SummaryThe Department Administrator II assumes a general management and supervisory role in the day-to-day administrative and operational activities of the department. This position establishes and maintains procedures for efficient handling of programmatic functions, financial operations and data management, as well as manages special projects or assignments as assigned by the Department Chair. This position works closely with the Department Chair and other offices to implement policies and procedures, provide financial reports & reconciliations, assist faculty and students, and provide additional programmatic activities that are required to operate as an efficient and compliant department in SSE. A range of university experiences is helpful, with the ability to identify and understand the interconnections among the department's stakeholders.
The Department Administrator II is responsible for the management and retention of institutional and program regulatory, accreditation and credentialing files. This position serves as a resource regarding compliance with program standards and will work closely with the Program Leadership with preparing annual and special reports for the School, University, regulatory and accreditation organizations. Good judgment and trustworthiness are required. This position oversees approximately $15 million budget in the department funding portfolio.
As the business/financial officer of the department, this position's duties include, but are not limited to, the management of all departmental administrative and financial activities: analyzing department budgets, coordinating pre-award and post-award activities with RASU when necessary, projecting costs and resolving any budget variances with the accounting office, ensuring adequate ledger/account reconciliation, understanding PI effort certification on research awards, ensuring research and university compliance with RASU, preparing financial reports as needed for the chair and dean. The position further assists in the human resources activities of the department, which will include assisting with the recruitment, hiring, management, and annual evaluation of staff. The position will work with the CBO's office to resolve any payroll issues that arise. The Department Administrator II oversees and supports activities related to undergraduate and graduate educational initiatives or programs. This position includes, but is not limited to, student advising, degree audit certification, course scheduling, student registration, transfer credit requests, undergraduate academic awards, and coordination of both Master's program and PhD student recruitment. This position serves as a liaison between the Department and Dean's Office on a variety of administrative topics and supervises additional departmental administrative staff members.
* Bachelor's Degree with 3 years of directly related work experience.OR* High School Diploma (or Equivalent) with 9 years of directly related experience.
*Master's Degree in Business Administration.*Demonstrated ability to work independently and as a team member.*Demonstrated ability to prioritize and competently manage a variety of activities with various deadlines.*Motivation and willingness to take initiative and make decisions.*Ability to be diplomatic while working with undergraduate student population.*Knowledge of Tulane software EBS (HCM, TAMS, E-IT), Cognos, BANNER, CONCUR, SciQuest, CoursLeaf, Interfolio, Kronos, CIMS, Canvas, CLSS, Slate and Library Research System. *Supervisory experience.
