Responsible for sorting, distributing, processing all Amerant Bank incoming and outgoing packages/mail, managing outgoing messages and packages, ensuring proper labeling and packaging for outgoing post and keeping detailed records of all incoming packages, including weight and dimensions, among other duties. Mail clerks will need to directly deliver mail to both departments and individuals, requiring excellent people skills. Packages are not limited to US mail, international mail, express mail, courier, interoffice mail, and freight packages coming in pallets or other forms. From time to time, duties may vary to include escorting vendors throughout the premises as well as cross train other team members to perform the mailroom duties, and other duties at the direction of the Facilities Manager.

Responsibilities:

  • Compile and batch all envelopes received and prepare interoffice mailbags to be sent on a regular basis to offices in other locations as required, ensuring that the envelopes are correctly enclosed in the appropriate mailbags and sent out for next-day delivery in a timely manner.
  • Sort all mail received from the Post Office, as well as interoffice, into batches to determine where it needs to be distributed and delivered within the Group's departments and/or branches.
  • Track the delivery and receipt of any certified/registered mail received to ensure that its' recipient signs for it upon receipt.
  • Process any next-day or Express Courier correspondence/packages to ensure they go out by that day's deadline for timely delivery.
  • Must maintain adequate stock of material necessary to perform the Mailroom Clerk duties.
  • Conduct the early morning routine, collate, and distribute computer reports, attend outside couriers, etc.
  • Distribute and collect correspondence throughout all areas of the bank twice a day or more if requested.
  • Ensure preventive measures are conducted to fully comply with current rules, regulations and internal policies relating to risks pertaining to BSA, USA Patriot Act, OFAC and other AML related issues.
  • To identify, evaluate, monitor and make any recommendation deemed necessary to their respective Risk Management Committee to assess, reduce, eliminate or control any current or prospective risks to earnings or capital arising from violations of, or nonconformance with, laws, rules regulations, prescribed practices, internal policies and procedures or ethical standards.
  • Accompany (per company guidelines) vendors throughout the premises that may be performing deliveries, work, inspections, and surveys.
  • Other job duties as assigned by Facilities Manager.
Minimum Education and/or Certifications Requirements:

High School Diploma or GED required.

Minimum Work Experience Requirements:

At least one year of mailroom experience. Excellent communication skills in English and Spanish preferred.

Technical and/or Other Essential Knowledge:

Previous experience with Internet and MS Office Skills, including MS Word Level I and MS Excel Level I required.
