Essential Functions:

  • Responsible for preparation, approval, and computer entry of all maintenance purchase orders. Purchasing limits are set by the Construction Manager. Responsible for all orders placed for various welding, maintenance, and janitorial supplies.
  • Contact outside contractors, if needed, for plumbing, air conditioning, or electrical services.
  • Handles Waste Management, Ingersoll Rand, and other contactors and vendors.
  • Maintains an up-to-date Certificate of Insurance on all outside contractors that are used by the maintenance department.
  • Responsible for all paperwork on the Maintenance Department s Purchasing Card.
  • Responsible for the receiving of all maintenance purchasing on the computer.
  • Responsible for following up on back orders, including expediting orders, for all maintenance purchasing.
  • Responsible for preparation of returned goods such as making sure that repairs are returned, wrong items, and/or warranty items are sent back to the vendors for credit. Obtain the credits and process them with accounting.
  • Responsible for inventory control on the computer of all maintenance items, including current pricing, contract pricing, and vendor buying history files.
  • Assists in scheduling and monitoring maintenance projects to provide upkeep and repair of plant equipment and facilities.
  • Keeps and reports time on maintenance projects for cost and historical purposes.
  • Maintains a library of vendor catalogs and plant equipment manuals
  • Performs numerous clerical duties such as typing, filing, entering data into computer, answering telephones, preparing, and distributing reports, using fax machine, calculator, copy machine, scanner, computer, typewriter, and label making machine, and printer.
  • Responsible for cross-training co-workers in all aspects of routine job duties.
  • Responsible for the approval of monthly invoices, verify charges and credits on annual contracts/lease agreements for the Maintenance Department. If there are any changes to the contracts/lease agreements, obtains and files the new contract/lease agreement.
  • Monitor daily requisitions from supervisors on Sharepoint for buying purposes.
  • Assists Maintenance Supervisor and Construction Manager in hiring and duties of Maintenance Clerk.
  • Assists other departments as needed.

Qualifications
  • Associates degree or 3-5 years purchasing experience.
  • Knowledge of Excel and Microsoft Word including excellent typing skills
  • Ability to demonstrate outstanding communication skills.
  • Proven Customer Service experience and skills
  • Confidentiality
  • Organizational skills with the ability to multi-task
