Media Communications Coordinator - Customer Relations and Communications

Job Summary
This Media Communications Coordinator will operate in a hybrid work environment as a member of the Customer Relations & Communications (CRC) division within Facilities & Services (F&S), reporting to the Manager of Communications & External Relations. The coordinator will be responsible for writing, editing, and producing dynamic organizational content that helps to inform the campus community of the unit's services, provide greater visibility surrounding academic collaborations, and highlight significant organizational accomplishments and successes. This position will work closely with all members of the CRC team to implement overall content strategies and respond to emerging needs and urgent requests. The coordinator will also regularly coordinate with internal and external stakeholders to develop multichannel internal and external messaging for various audiences.

Duties & Responsibilities

  • Content Development and Communications
    • Draft timely news releases, announcements, and feature stories to connect university stakeholders to updates regarding business practices, project milestones, and unit accomplishments.
    • Work closely with the Manager of Communications & External Relations and Associate Director of Facilities & Services, Customer Relations and Communications, to develop supporting information and materials for F&S strategic content and presentations.
    • Produce communication campaigns to feature F&S initiatives and services that sync with periods of the campus academic calendar and annual operations.
    • Acquire and create content for fact sheets, handouts, brochures, newsletters, and organizational reports.
    • Support recurring and urgent messaging needs for staff and supervisory-level communications.
  • Multimedia Collaboration
    • Tell the organizational story and enhance the unit's reputation by creating and adapting materials for traditional and new media, such as campus digital signage systems.
    • Collaborate with others to conceptualize, assess, and establish consistency for graphic design requests.
    • Ensure that unit production materials are consistent with Illinois Identity Standards and emphasize the university's brand platform and voice.
  • General Support (30%)
    • Assist with event coverage as necessary to support departmental research and related project development.
    • Document F&S activities that achieve university strategic goals and facilitate engagement with the campus community.
    • Contribute to and participate in the creative process as an innovative and enthusiastic member of the F&S communications team.
    • Assist with the planning and managing communication aspects for F&S customer and staff events and forums.
    • Assist with media inquiry response and subject matter expert engagement opportunities.
    • Enhance F&S' visibility, community engagement, and reputation through communications expertise built on organizational knowledge, thought leadership, and production quality and consistency.
    • Support the Mission, Vision, Values and Guiding Principles of Facilities & Services.
Minimum Qualifications

Bachelor's degree in marketing, business administration, communications, public relations, or a closely related field.

3 years of professional work experience in marketing, public relations, communications, brand management, or a related professional area.

Demonstrated Experience in producing informational content for various platforms and audiences.

Preferred Qualifications

Familiarity with graphic design software and a basic understanding of creating visual concepts and layouts. Photojournalism and multimedia experience for digital storytelling. Copy editing background and understanding of content management systems and website development and analytics.

  • 2. Excellent oral, written, and interpersonal communication skills and the ability to prioritize work and meet project deadlines in a fast-paced, collaborative environment.
  • 3. Knowledge of communications, production, and delivery methods.
  • 4. Ability to work collaboratively and effectively in a team-based, dynamic environment involving diverse staff.
  • 5. Proven project management and strong attention to detail, including an aptitude for research.
  • 6. Excellent written and verbal communication skills, as well as customer service capabilities.
  • 7. Self-motivated and able to work independently in a fast-paced environment.
  • 8. Possess superior organizational skills with the ability to multitask while maintaining a high level of quality across all projects.
  • 9. Work effectively under tight deadline pressures and the ability to respond quickly in the case of fast-breaking developments.
  • 10. A general knowledge of higher education and facilities management industries.
  • 11. Must exercise excellent judgment and discretion, especially in handling confidential and/or sensitive issues and information, campus policies, or unit business data.
Appointment Information

This is a 100% full-time Civil Service 5004 - Marketing Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 10/27/2024. The previously determined salary range for this position was $50,000 to $60,000. The final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, relevant collective bargaining agreements, and/or budget constraints.
