Job Summary
Provide administrative support and perform a variety of administrative duties related to the daily operation of the Department of Pathobiology. The Office Support Associate works in close coordination and cooperation with the Pathobiology faculty and staff to ensure a united effort in meeting the mission of the Department.

Duties & Responsibilities

  • Assists the Administrative Assistant and Director of Graduate Programs process departmental graduate program applications, admissions, new student orientation, annual progress reviews, file maintenance, petitions, and course overrides. Serve as a departmental liaison to the Graduate College. Interprets and applies the Graduate College and Department student handbooks. Responds to requests for data regarding the graduate student population. Participate in training opportunities offered by the Graduate College to stay current on policies and procedures.
  • Supports the seminar series and journal clubs. Arranges for rooms and presentation equipment, ensures presentation equipment is functional and makes certain room and equipment are returned to their original condition after the activity ends. Arranges necessary announcements and documentation.
  • Assists in updating department webpage and other department-related media. Assists with course maintenance and enrollment activities.
  • Supports routine departmental operations, including conference rooms, bulletin boards, phone and key administration, supply inventory, confidential materials maintenance, and inquiries responses. Provides back-up for other tasks as requested by Administrative Assistant.
Additional Physical Demands
Work is performed in a normal office setting. Allergies to hay, straw, or animal dander may cause discomfort based on the location within the College of Veterinary Medicine. This position requires interaction with faculty, staff, and students on a daily basis and a professional and courteous demeanor must be maintained at all times.

Minimum Qualifications

Per SUCSS Class Specs: High school diploma or equivalent. Any one or combination totaling eighteen (18) months from the categories below: College coursework in any curriculum as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) Work experience performing office/clerical activities, including the use of computer systems.

Preferred Qualifications

The Office Support Associate works independently under the general supervision of the Administrative Assistant. The individual must appreciate and understand the goals of the faculty and staff in maintaining their laboratories, classrooms, and staffing. The individual must exercise good judgment and initiative and perform the duties of this position with special consideration given to the confidential nature of the activities administered and performed, and with strict adherence to department, college, and campus policies and procedures. The individual must be able to work efficiently and effectively to meet deadlines and therefore must be able to prioritize, multitask, and work with frequent interruptions, both by phone and in person.

Knowledge, Skills and Abilities
  • Knowledge of principles, practices, methods, and techniques of office administration.
  • Understanding of the university, college and department organizational structures.
  • Comprehensive knowledge of university, college and department policies and procedures.
  • Excellent communication and problem-solving skills and the ability to deal with a wide variety of people/personalities.
  • Capacity to work effectively in a professional and courteous manner.
  • Ability to manage and complete multiple concurrent projects and deal with complex, diverse and sensitive issues.
  • Proficiency in Microsoft software (Word, PowerPoint, Excel, Exchange, Outlook) and experience using Banner applications.
Appointment Information

This is a 100% full-time Civil Service 0846 - Office Support Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The wage for this position is $36,901.80 ($18.924/hour). Sponsorship for Work authorization is not available for this position.
