Axogen Mission and Business Purpose

Job Summary of the Payroll Specialist

The Payroll Specialist is responsible for payroll processing, reporting and validation activities while ensuring payroll accuracy and timeliness. This includes, but is not limited to, processing timecards, handling payroll deductions, calculating overtime, processing wage garnishments, and the setup of employee taxes. Additionally, this role will approve travel and entertainment (T&E) expenses via Concur, ensuring compliance with company policies, and oversee the accurate reconciliation and reporting of expense data. You will also ensure the timely and accurate recording of financial statements by preparing entries for posting into the general ledger.

Requirements of the Payroll Specialist
  • Bachelor's degree in finance or a related field preferred.
  • Minimum 3 years of experience in multi-state payroll processing and T&E expense management.
  • Excellent communication (written and oral) and interpersonal skills.
  • Strong attention to detail and problem-solving abilities.
  • Ability to maintain confidentiality and handle sensitive information.
  • Thorough knowledge of accounting and payroll legislation (e.g., Sarbanes-Oxley Act, FLSA).
  • Proficiency in Microsoft Office, with advanced skills in Excel.
  • Experience with accounting software, human capital management (HCM) software, and/or expense management software (e.g., Concur, Great Plains) is a plus.
Responsibilities of the Payroll Specialist

The specific duties of the Payroll Specialist include but are not limited to:
  • Payroll Processing:
    • Collect, validate, and adjust non-exempt and hourly time reporting.
    • Validate and maintain vacation and sick quotas.
    • Identify and resolve issues and errors related to timekeeping during payroll execution.
    • Collaborate with HR, Sales, and employees to resolve payroll-related questions and issues.
    • Coordinate with HR regarding payroll changes (e.g., terminations, new hires) and process payroll payments.
    • Process routine payroll compensation such as commissions, stock compensation, deductions, and adjustments.
    • Validate stock option tax reports and ensure accurate tax withholdings.
    • Manage payroll claims, overpayments, and repayments in collaboration with the HR department.
    • Prepare statements reflecting earnings, taxes, and deductions, while resolving payroll-related inquiries.
    • Ensure compliance with company policies, industry regulations, tax laws, and deductions.
    • Prepare payroll reports for management and auditing purposes.
    • Develop and execute routine and ad hoc reports in support of payroll and human resources functions.
    • Collaborate with HR to maintain data accuracy in Paycor.
    • Communicate with vendors and HR department regarding payroll matters.
    • Process off-cycle payroll as needed.
    • Ensure all audit processes are followed to ensure Sarbanes-Oxley, external, and internal audit compliance, with guidance from management.
    • Process attendance records and other relevant documents.
    • Produce payroll reports for upper management as requested.
  • T&E Expense:
    • Approve travel and entertainment (T&E) expense reports in Concur, ensuring compliance with internal policies.
    • Review and audit expense reports to verify accuracy, proper coding, and adherence to guidelines.
    • Ensure timely reimbursement to employees for approved travel and business expenses.
    • Identify and report any discrepancies, potential fraud or policy violations.
    • Review and reconcile expense report data and create journal entries to accurately record monthly expenses.
    • Collect employee personal expenses processed for payment on corporate cards.
    • Collaborate with employees and departments to resolve T&E expense inquiries.
    • Ensure timely reporting and approval of expense reports in accordance with company policies.

This position is eligible for an annual bonus. Salary Range

$59,411-$74,263 USD

Axogen is on a hybrid work schedule for some of our positions based out of our headquarters in Florida, with 3 days in office and 2 days remote. The hybrid work schedule does not include sales or facilities in Ohio or Texas.

Axogen follows healthcare system guidelines with respect to credentialing, vaccinations and other employment/compliance related requirements, as well as CDC guidance. Axogen reserves the right to amend its policies from time to time in its sole discretion.
