Responsible for the day-to-day activities under the direction of the Chief of Staff/Board Liaison. Oversight and coordination of all documentation for the Pacific Health Associates board of Directors.

Essential responsibilities:

  • Responsible for the creation, accuracy, and maintenance of materials for board and committee meetings (e.g. Board decks and community involvement), develop and maintain agendas, board policies, contracts, legal documents, as well as board and committee minutes and other meeting materials.
  • Develop and maintain an annual board calendar that ensures the board is meeting any regulatory responsibility and proper governance standards.
  • Assists in the coordination of meeting logistics, agenda development, maintaining schedules, records, correspondence, minutes, meeting materials and other corporate documents.
  • Partners with the Board Chair and Governance Chair for the orientation of all incoming board members.
  • Work with PacificSource Finance department to review annual budget and coordinate other financial matters between the PHA Board and the PacificSource Finance Team.
  • Act as liaison between investment advisors, multiple investment funds, and the PacificSource finance department, ensuring timely and efficient dissemination of fund communications and periodic account statements for financial reporting purposes.
  • Designs and produces complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; and composing and preparing correspondence.
  • Support key strategic partnerships and relationships between the board and key stake holders.
  • Prioritize requests for critical decisions or responses from the board and internal leaders including those of a highly confidential or critical nature.
  • Manage workflows and track deliverables and details of special projects and activities as necessary.

Supporting responsibilities:
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Perform other duties as assigned.

SUCCESS PROFILE

Work experience: A minimum of 5-7 years of high-level administrative experience required with experience working with a board of directors highly preferred. Experience in working independently preferred.

Education, certificates, and/or licenses: Bachelor's degree in business or related field, or equivalent work experience required.

Knowledge: Must have comprehensive knowledge of business principles and techniques of administration, organization, and management. Knowledge of operational planning, financial and cost analysis. Ability to accomplish tasks under pressure and determine priorities. Maintain confidentiality and security of information. Excellent verbal and written communication skills.

Physical Requirements: Stoop and bend. Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
