Overview: ACS Professional Staffing is looking for an employee to work on-site with our client. This Project Coordinator position will support Project Managers (PMs) by assisting with project tracking, reporting, and risk management throughout the project lifecycle. Responsibilities include managing project schedules, coordinating resources, ensuring milestone tracking, and maintaining project documentation. The role involves creating and updating schedules, reporting on progress, and recommending corrective actions when necessary. Successful candidates will collaborate with various teams, utilize project management tools, and ensure effective communication with stakeholders to meet project goals.
This full-time position is located in Vancouver, WA. Pay Rate: $31.54 - $39.57

Responsibilities: - Support projects assigned by project manager, from beginning to end, by helping on the PMI-based project management methodology, best practices, and internal skill development as requested by and with guidance from the manager, team lead or other personnel with the authority to do so, including:
- Address and navigate politically sensitive issues in a collaborative and professional manner with manager/federal personnel assistance and guidance.
- Communicate clearly and concisely with engineering, construction, contractors, field staff, project staff, and other stakeholders in Transmission business unit, on a consistent and/or as needed basis. Create/draft written and verbal sponsor or stakeholder communications throughout the life of the project.
- Coordinate with various resource managers related project control tools relative to demand capacity, set up and configured in accordance with the organization's expectations and synchronized with the MSP governance and policy, tools, systems and procedures.
- Manually convert legacy schedules to current version.
- Develop and maintain earned value analysis.
- Identify and record resources' activities/tasks in MSP and develop various reports from Transmission's existing reporting tools.
- Support Transmission scheduling staff, the project team, and stakeholders with schedule management and control.
- Develop and update summary level (roll-ups) as well as detailed schedules according to project requirements.
- Develop lists of design, procurement, construction, and post construction activities based on review of design documents, examination of site conditions, and discussions with other project coordinators, design resource managers, and internal/external contractors.
- Identify major project milestones in the MSP schedule and inform project managers and/or project coordinators if errors exist.
- Recognize critical approvals as needed in Capital Investment Acquisition (CIA) process and inform management.
- Develop and recommend reasonable schedule logic and constraints based on discussions with the project manager, other project coordinators, and/or other teams.
- Develop and recommend realistic task/activity durations based on inputs from the different resource organizations, understand resource availability based on discussion with task owners, teams, organizations, and stakeholders.
- Perform the single editor function for the MS Project Server schedule. Schedule information provided by project managers or coordinators.
- Develop Gantt charts, resources loaded schedules, 6 weeks look ahead, and milestones schedules as required by the project team and other stakeholders.
- Assist in developing milestones and dates.
- Evaluate critical and/or multiple critical path(s) activity and their sequencing.
- Assess actual progress vs the project baseline.
- Work collaboratively with the project manager and project coordinator to assess schedule impacts of proposed schedule changes.
- Monitor project milestones and schedules. Monitor, maintain, and update project schedules as required by the project manager. Report on schedule dependencies, risks, issues, and impact to the project critical path.
- Recommend corrective actions and/or develop recovery plans when delays are anticipated or occur.
- Provide expertise and assistance to Project Managers and Project Coordinators on best practices to integrate schedules and their dependencies. Leverage MS Project timelines, critical path, import/export, reporting, etc. Recommend best practices to the team.
- Present multiple views of the bundle level schedule(s) in MSP (e.g., Task, Resource, and Assignment) as well as various formats (e.g., Gantt Chart, Network Diagram, Graph, Sheet, or Form).
- Create and revise MSP project schedules, collaborating closely with the PM and other project coordinators who will provide data such as milestone dates.
- Create, revise, and document MSP templates.
- Create, revise, and document MSP tools (e.g., macros) as requested.
- Create, revise, and document reporting tools as needed for TEP as well as other groups, such as TF, TEBW, TEBI, and TPW.
- Provide expert guidance on MSP to other members of TEP and project managers outside of TEP.
- Monitor and track resource commitments from other groups as requested by the PM, using the organization's resource tools.
- Understand and monitor the Ready for Intended Use (RIU) dates and report to the PM.
- Monitor project schedules with the use of various or applicable reporting tools.
- Track and follow up on action items assigned to and by the Manager or PM. Know who to contact when action items are complete and a subsequent action can begin.
- Upon identification of project schedule risks, monitor and assist assigned project team members with risk management activities. Alert staff to concerns regarding schedule and resource risks.
- Track and maintain documents (on Workspace and otherwise) related to project. These documents may come from the manager, project manager, other team members, or outside agencies and/or systems. Check dates and decisions on documents that are known to change frequently and update static documents regularly, so the most current information is available.
- Coordinate scheduled information/status updates from the project team and distribute to team members and stakeholders needing the updated information.
- Resource Coordination:
- Request appropriate project resources on behalf of the PM to fulfill project needs; may submit resource requests on behalf of other internal organizations.
- Coordinate project schedules (or other reporting information) for team members, and with other groups (e.g., TEBW, TEBI, and TF).
Requirements: - A bachelor's degree in engineering, construction management, business administration or management, organizational development, or other related technical discipline is preferred.
- 5 years of experience is required with an applicable bachelor's degree.
- 7 years of experience is required with an applicable associate degree.
- 9 years of experience is required without a degree or applicable degree.
- Experience should include direct work experience in project coordination / control capacity, including all aspects of scheduling, schedule management, and scheduling conflict resolutions.
- Demonstrated proficiency using SharePoint, to store, analyze, and manipulate data.
- 4 years of Microsoft Project experience.
- Experience in the electric utility industry data.
- Experience managing multiple (or bundled) project schedules.
- Ability to analyze, understand and effectively document technical data.
- Ability to store, manipulate, and organize large numbers of files and folders using Microsoft Windows networks or other document management programs.
- Valid U.S. Driver's License is required.
